Abstract

Although individual use of computers is fairly widespread, in meetings we tend to leave them behind. At Xerox PARC, an experimental meeting room called the Colab has been created to study computer support of collaborative problem solving in face-to-face meetings. The long-term goal is to understand how to build computer tools to make meetings more effective.

              In one class of meetings, a small group works together (preferably face-to-face) to produce a report, a design, or a decision. At Xerox PARC, an experimental facility (Colab) has been set up to determine whether computer support can improve this class of meeting. This thorough paper describes Colab and its distributed computer system. It also describes initial experimental results in (a) collaborative writing and (b) proposal evaluation. Each person in the room has a workstation on which to “draw” or “type” inputs to the group activity. The displays are easy to read; all screens show the same windows. All the data can be retained, retrieved, reorganized, extended, evaluated, and changed by anyone at any time. It is easy to store everything and resume the meeting at a later date. Eventually, tie-ins to text processing and host information systems would let the group publish their results in a form ready for distribution. On the negative side, the use of a workstation requires some skill and probably takes something away from face-to-face interaction. The local network must be fast, transparent, and reliable. When all desired functions are installed in Colab, these performance objectives may be hard to meet. The authors plan to address these issues in future research. By analyzing both “meetings” and “meetings with computer support,” they should be able to place a value on the Colab type of facility.
